The submission package

The submission package is the final step: one zip file containing the official verification form and all your supporting documents, ready to be submitted to the competent authority.

Where to find it

1. Go to your accommodation’s dashboard.
2. At the bottom, you will see the Submission package card.
3. First, fill in the application details, then select Generate submission package (zip).

What’s inside

The official verification form. We use the exact JRC form, not our own version of it. The module only fills in the answer cells; all formulas, dropdown lists, and formatting remain untouched so that the authority recognizes the file and the built-in compliance check works correctly. If you open it in Excel, it recalculates itself.

The supporting documents. All documents you have linked to declarations, numbered, with a MANIFEST.txt file stating which number belongs to which declaration. Confirmed template texts only become actual text files at this stage.

Consumption tables. The sheet with consumption figures is populated from your measurement data: electricity, guest nights, your own solar or wind energy, total kWh, water, and surface area excluding your private section. The sheet calculates the key figures below that automatically.

The application details

A block of fields that goes directly into the application form: company name, legal representative, contact, company category (micro, SME, national or international chain), number of locations for a chain, turnover estimate, and whether you are applying for a discount based on EMAS or ISO certification. We fill in the place and date of signing ourselves.

The manifest check

Before generating, the module checks for what is missing: unanswered declarations and declarations with mandatory documentation but no evidence. This is a warning, not a block. You can always generate the file. The reason is simple: sometimes you provide a document separately, or you have made an agreement with the authority. We are not going to decide that your file cannot be submitted.

What you still need to do yourself

Stamp and signature. We cannot provide these, and they are on the list of things you complete by hand. Afterwards, you submit to the FPS Public Health via ecolabel.be.
