A statement without evidence won’t get you through any audit. For a large part of the 142 statements, the authority wants to see a document: a certificate, a contract, an invoice, a policy text, or a photo. The module keeps track of which document serves which purpose.
Linking evidence
Next to each statement is a paperclip showing the number of linked documents. This opens a panel with three options: choose an existing document from your accommodation, register a link, or upload a file. You can uncouple them using the cross; the document itself will remain.
One document can be attached to multiple statements. Your maintenance contract often serves three or four criteria, so you only need to upload it once.
Linking evidence does not automatically set the statement to ‘in order’. That remains your answer. Conversely, for a completed statement with a documentation requirement, the module shows a soft tag evidence still to be provided as long as nothing is attached.
What the module does with your documents
Every document you upload is read and given a short summary: what kind of document it is, what date it’s from, and what it contains per theme. This summary also feeds into your sustainability report.
In addition, the document is given tags from a fixed list — invoice, contract, certificate, policy, logbook, website. These tags determine which criteria we measure the document against. If the tags aren’t right, you can adjust them; the analysis will then run again with the correct focus.
Confirming AI suggestions
If the analysis finds something, the statement will say: possible evidence in your documents, with the name of the document, a certainty percentage, and the literal fragment from the text it’s based on. That fragment is checked by the server: if it’s not actually in the document, the suggestion disappears. This is how we prevent the AI from making up something that looks good.
You confirm with Confirm as evidence, or you reject with Not this evidence. Only a confirmed suggestion becomes actual evidence. Confirmations and rejections are logged so that suggestions can be improved.
Scans
A scanned PDF contains no text, only an image. We automatically process such documents up to thirty pages. This isn’t free, in terms of money or energy, so you start larger scans yourself. After processing, the regular analysis is run over it.
Validity and versions
You can add a valid until date to a document. For an EPC, we pre-fill this for ten years. If a newer document replaces an old one, use the new version button: the links to the criteria remain and the old version stays in the history. If you delete a document that supports criteria, the module will warn you which ones they are.
