Fairhospitality.coop is committed to protecting your personal data and respects your privacy. In this privacy policy, we explain what personal data we collect, why we collect it, how long we keep it and what rights you have.


1. Who are we?

Fairhospitality.coop is a learning community for small-scale accommodation operators in Flanders, set up in the framework of the European INSPIRES project (EU Interreg).


2. What personal data do we process?

We only process personal data that you provide to us yourself or that is automatically generated when using our website.

2.1 Member registration (community)

When you create an account on fairhospitality.coop, we process:

  • Username
  • Email address
  • Password (stored encrypted)
  • Date of registration
  • Any profile information you add yourself (e.g., name, description of your lodging)

2.2 Forum posts and community contributions

Messages you post in our forums (via WPForo) are publicly visible. These posts are linked to your username.

2.3 Sustainability Monitor (logged-in members)

When you use our sustainability monitor as a logged-in member, we process:

  • Entered sustainability data (e.g. energy consumption, water consumption, waste data)
  • Occupancy rates entered (number of room and person nights)
  • Date of entry
  • Results of analysis

This data is visible only to you and, in anonymized/aggregated form, through the public dashboard.

2.4 Service request

When you submit a service request at /serviceaanvraag/, we process:

  • Name
  • Email address
  • Content of your question or inquiry

2.5 Technical data (automatic)

Each visit to our website automatically records technical data:

  • IP address (anonymized if analytics active)
  • Browser type and version
  • Pages visited and time of visit
  • Language preference

4. How long do we keep your data?

5. Do we share your data with third parties?

We never sell your personal data to third parties. We share data only in the following cases:

Hosting and technical service providers: Our website is hosted by Vodahost (Canada). Vodahost only has technical access and does not process data for its own purposes. Canada has an EU Adequacy Decision (European Commission), which means that data transfer to Canada is allowed without additional safeguards, provided that the processor is subject to Canadian federal privacy law PIPEDA – which applies to Vodahost as a commercial company.

Analytics: We use Burst Statistics, a privacy-friendly analytics plugin for WordPress. Burst Statistics stores all visitor data exclusively on our own server. No data is sent to outside parties. The tracking is cookie-free and does not process any personal data.

WordPress plugins: We use WPForo (community software) and WPML (translation software). These plugins process data exclusively on our server.

European INSPIRES project: As part of our European project, anonymized, aggregated statistics may be shared with project partners (Tourism Province of Antwerp, INSPIRES EU). No individually traceable data will ever be shared.

Legal obligation: We may transfer data if we are required to do so by law (e.g., at the request of a court or government agency).


6. Your rights

Under the General Data Protection Regulation (AVG/GDPR), you have the following rights:

  • Right of access: You can request what personal data we process about you.
  • Right to rectification: You can have incorrect or incomplete data corrected.
  • Right to erasure (“right to be forgotten”): You may request deletion of your personal data.
  • Right to restrict processing: You can ask to temporarily restrict processing.
  • Right to portability: You can request your data in a machine-readable format.
  • Right to object: You can object to processing based on legitimate interest.
  • Right to withdraw consent: If processing is based on consent, you can withdraw it at any time.

Send an e-mail to jandebock@fairhospitality.coop with the subject line “AVG request.” We will respond within 30 days.


7. Cookies

We use cookies to make our website work properly. You can find more information about which cookies we use and how to manage them in our Cookie Policy.


8. Security

We take appropriate technical and organizational measures to secure your personal data against unauthorized access, loss or misuse. Our website uses a secure HTTPS connection. Passwords are stored encrypted.

10. Changes to this privacy policy.

We may update this privacy policy from time to time. The date at the top of this document indicates when it was last updated. In the event of significant changes, we will notify members via email.
